# Inviting Stakeholders

> Prepare participants so they understand the purpose of the engagement and can provide useful evidence.

A good invitation reduces confusion and improves evidence quality.

## Explain four things

1. **Purpose** — what process or business question is being studied.
2. **Why them** — which perspective they contribute.
3. **What to expect** — interview, observation or other participation.
4. **How evidence will be used** — as part of a broader diagnostic, not as an individual performance score.

## Example invitation

> We are reviewing how the current \[process] works in practice and where unnecessary friction exists. You have been invited because your role gives an important perspective on that workflow. The session will focus on how work happens, including exceptions and workarounds, rather than evaluating individual performance.

## Improve completion

* keep the request concise;
* explain expected time commitment;
* give a clear deadline;
* provide a contact for questions;
* make consent and privacy information easy to access.

## Common mistake

Do not send a system-generated invitation with no client context. Participants are more likely to engage when the sponsor has already explained the purpose.
